Guro-gu Introduces 'Single-sheet Entry Log' to Prevent Personal Information Leakage
Change to a system where each district office visitor fills out a separate log to prevent viewing others' information... Helps protect personal data of elderly and information-vulnerable groups unfamiliar with smart devices
[Asia Economy Reporter Jongil Park] Guro-gu (Mayor Lee Seong) has introduced a ‘single-sheet entry log’ to prevent personal information leakage.
Guro-gu stated on the 15th, “To establish a COVID-19 quarantine system, electronic entry log authentication or handwritten log entries are conducted for visitors to the district office,” and added, “To alleviate residents’ concerns about personal information exposure in handwritten logs, we have prepared a ‘single-sheet entry log.’”
The existing handwritten logs recorded multiple visitors on a single sheet, revealing information such as names and phone numbers. Recently, there have been cases where private contact attempts were made using information confirmed from the logs, raising concerns about misuse and identity theft due to personal information exposure.
In response, Guro-gu created a ‘single-sheet entry log’ where each visitor fills out a separate sheet. After an individual records their information, the log is immediately turned to the next sheet so that subsequent users or others cannot see the previous entries.
Additionally, in accordance with quarantine authorities’ guidelines, only the minimum necessary information is recorded. The handwritten logs are strictly managed, stored for four weeks, and then shredded and disposed of.
Guro-gu has installed thermal imaging detectors at the entrances of the main and annex buildings to conduct fever checks on staff and visitors. Personnel dedicated to managing entrants are also assigned at each entrance to strengthen entry management.

A Guro-gu official said, “We expect the ‘single-sheet entry log’ to help protect personal information, especially for the elderly and information-vulnerable groups who are not familiar with smart devices,” and added, “We plan to expand this system to community service centers, affiliated organizations, and related institutions.”
