Gwangju Nam-gu 'Stop Paper Fax' Electronic Fax System Introduction
[Asia Economy Honam Reporting Headquarters Reporter Park Jin-hyung] Nam-gu, Gwangju Metropolitan City has introduced an electronic fax system that converts fax documents previously exchanged on paper into electronic format.
According to Nam-gu on the 9th, the electronic fax system was established to address issues arising from the use of the existing analog fax method, such as document loss.
During the process of sending and receiving documents via fax machines, problems occur when the recipient's fax machine runs out of paper or when multiple faxes are received simultaneously, causing failure in document exchange and leading to civil complaints. Additionally, there was a risk of exposing personal information such as resident registration numbers on paper faxes.
The newly introduced electronic fax does not leave document information on the fax machine and can only be viewed as computer files within the system, thereby blocking the exposure of sensitive personal information and reducing concerns about document loss.
Furthermore, since the contents of the fax and the sending and receiving information are recorded, it enhances efficiency in terms of document security and management.
Nam-gu introduced the electronic fax system in the Public Relations Department in November for pilot operation and recently completed its expansion to all offices and departments within the district office, 17 administrative welfare centers in the jurisdiction, and the Nam-gu Council.
With the introduction of electronic fax, consumable costs such as paper and toner used for paper faxes can be significantly reduced, and when sending a single official document to multiple institutions simultaneously, the fax transmission time, which previously took about 10 minutes, can be shortened to 2 to 3 minutes, thereby improving work efficiency.
In addition, civil petitioners can freely use fax sending and receiving anytime through mobile fax apps and can immediately check processing statuses such as receipt confirmation, which is expected to greatly enhance convenience.
